Palace of Westminster Team Coordinator (Senior Administrator)
We are seeking an experienced Senior Administrator to join our Palace of Westminster team to work on this landmark heritage project.
This is an exciting opportunity for a highly motivated self-starter looking to take the next step in their career to provide team co-ordination at all levels. Based in our London studio, we are looking for someone who is organised and analytical. You will be client focused, so will need strong interpersonal skills and a professional manner and an all-round understanding of business challenges.
The successful candidate will be an integral part of the current team of 20, working closely with three partners and their supporting colleagues to ensure smooth collaboration and effective communication to ensure successful project delivery.
The role offers the opportunity to develop your expertise in all areas as part of a team that has been working on the Parliamentary Estate since the mid-1990s, repeatedly maintaining our position on its procurement framework. As well as administrative and project management support, the role will involve supporting client liaison, graphic design, document production, team leadership, and business development.

The role
Your key responsibilities will be as below, but not limited to: · Project planning and scheduling: Fee & Resource forecasting and monitoring using our internal project management system CMap ensuring the project schedules are realistic and achievable. · Monitoring and assisting Project Managers with document and change control using contract administration software such as CEMAR · Communication and Collaboration: Facilitate communication among Project Leaders and team members, serve as a liaison between team members, clients, and other stakeholders, foster a positive and collaborative team culture, organise, and facilitate regular team meetings to discuss process, challenges, goals, and success. · Client and Team Interaction: Collaborate with clients and our team to understand their requirements and expectations. · Documentation and Reporting: Maintain accurate project documentation using Internal and external CDE’s, generate regular reports on project status, budget, and other relevant metrics. · Project Deliverables including client reports, project records, spreadsheet development and management. · Security Clearance Management, reporting, and document audits: managing the security clearance process by conducting internal Baseline Personnel Security Standard (BPSS) checks, liaising with client team, and maintain secure files to assist team members with new and renewal applications. · Risk Management and quality control: Identify potential risks and challenges in project execution, work with the team to develop strategies to mitigate risks, proactively address issues that may arise, ensure standards including Framework policies are met through conducting quality assurance review, implement, and enforce quality control processes.
5. Skills & Qualifications Required
· Proven experience of Project Management and Team Coordination
· Experience of working within NEC Contracts and an understanding of Programmes,
Activity Schedules, Early Warning Notices and Compensation Events is an advantage
· Document Control experience using systems like Aconex, CEMAR and Atvero
· Adobe Creative Suite expertise and experience of compiling client reports.
· Proficient in Microsoft Project and Office 365.
· Solid organisational skills with a flexible approach and the ability to prioritise.
· Strong interpersonal and teamwork skills
· Commercial awareness
· Professional demeanour
· Strong attention to detail
